Pending Shipment is a live count of paid Etsy orders that have been bought and confirmed but not yet marked as dispatched in Shop Manager. Every order in this bucket is a clock that is already running against the ship-by date the buyer was promised at checkout. An Etsy seller cares because the on-time dispatch rate is one of the three pillars of the Star Seller badge, and because a buyer who waits too long for a shipping notification is far more likely to open a case or leave a low star rating. A healthy shop keeps this number flat and small relative to daily order volume; a worrying shop shows it climbing day over day, which usually means orders are arriving faster than they are going out the door.

Calculation

Vortex IQ counts every Etsy order in a paid and confirmed state that has not yet been moved to a shipped or completed state. Cancelled and refunded orders drop out of the count once Etsy records the status change. The card is a point-in-time snapshot, so it rises as new paid orders land and falls as you mark parcels dispatched. The alert fires when the live count exceeds twice your trailing 30-day average, which adapts the trigger to your own normal volume rather than a fixed threshold.

Worked example

Illustrative numbers. On 14 Jun 26 a homeware shop normally carries about 12 orders awaiting dispatch through a working day. By mid-morning the card reads 31, well past twice the 30-day average, and the alert fires. The operations lead opens the queue in Shop Manager and sees that a batch of personalised mugs is held up waiting on a courier label run that did not happen the previous evening. They print the outstanding labels, mark the parcels shipped, and the count settles back toward normal within the hour. Reconciling against Etsy Shop Manager

Where to look in Etsy Shop Manager: Open Shop Manager > Orders & Shipping and filter to the New or Not Shipped view. The count of orders in that view is the direct counterpart to this card. You can cross-check individual ship-by dates there before working the queue. Known limitations / merchant FAQs

Q: Does this count orders that are paid but on a made-to-order or long processing time? Yes. Any paid order not yet marked shipped is counted, including made-to-order pieces. Read the number against your stated processing times, because a made-to-order shop will legitimately carry a larger steady backlog than a ship-from-stock shop. Q: Will marking an order as shipped immediately drop the count? It drops on the next data refresh once Etsy confirms the status. The change is usually quick, but the card is not live to the second the way Shop Manager is. Q: Why does my Etsy Shop Manager show a different number? Most often it is a period boundary or timing difference. The card reflects the last refresh while Shop Manager is live, and time zone differences can shift which orders fall inside a given day. Filter scope also matters, so make sure you are comparing against the Not Shipped view rather than all open orders. Q: Can I customise the alert threshold? Yes. Alert thresholds are configurable per profile in the Alert Rules tab. A high-volume shop may want the multiple raised above 2x, while a small shop may prefer a low absolute cap so any handful of un-shipped orders is flagged.
